Update on Pacific Flex

One year ago this January, University of the Pacific launched Pacific Flex to help staff members balance work and personal obligations as they help the university better serve its constituents. As we reflect and look ahead, we want to share an overview of the Pacific Flex experience including form changes and resources for staff and managers and offer some reminders as we enter our second year of Flex.

During Pacific Flex's initial year, Pacific's HR teams have received 81 approved Flexible Work Time Arrangement (FWTA) Requests and 5 Telecommuting Requests across our three campuses.  To date, HR has not received any denied requests and questions have come up around whether HR receives all completed forms.  We'd like to take the opportunity to remind staff, supervisors and managers that all completed forms should be routed to HR for record keeping. This means that completed forms are submitted whether they are denied or approved and become flex agreements (see Flexible Work Time Policy, Enrollment Procedures number 6; FAQs; Pacific Flex Guide, page 7)

Staff and managers have communicated suggestions, questions and concerns about the Flex Request process that have contributed to updates to the Flexible Work Time Arrangement Request Form on the Pacific Flex webpage. Changes include:

  • Adding a signature line for vice president approval (task complete)
  • Reducing the number of places where employees sign to once on the second page
  • Adding space for manager/supervisor initials to indicate approval or denial in Section 4
  • Adding a space for Human Resources notations such as date received, form completion status and any comments  

Successes have been shared as well, one notably from Emergency Risk Management (ERM). Many ERM team members are participating in Pacific Flex through a FWTA along with a team plan that has established office coverage between 8 a.m. and 5 p.m. Meetings are scheduled based on their team plan and they are willing to adjust their schedules if needed to accommodate university needs.
