Non-exempt employees begin web time entry July 16 as the transition to biweekly payroll and web time entry continues

The transition to web time entry and biweekly payroll is now in progress, with employee groups being phased in now through August.

Web-based time entry is easier and more convenient and will offer several advantages, including access to real-time information regarding vacation and sick leave balances and the ability to record time remotely. Please find information below on upcoming transition and pay dates, online training available for non-exempt employees and approvers, and important reminders to consider as you prepare for this transition. Please note these dates on your calendar and take advantage of these training opportunities.

The transition to biweekly pay and web time entry began with students and temp casual employees receiving their last semimonthly paycheck on June 26 covering working days from June 1-15, and their transition paycheck for workdays from June 16 to 25 on June 30. Their first biweekly paycheck will be issued July 14, covering workdays from June 26 to July 9.

Non-exempt employees transition July 16

Non-exempt employees will receive their last semimonthly paycheck on July 10, which covers work days from July 1 to 15, and they will transition to web time entry on July 16. They will receive a transition check on July 28 covering work days from July 16 to 23 and will receive their first biweekly paycheck on Aug. 11 covering work days from July 24 to Aug. 6. 

Training for non-exempt employees and approvers available

To be sure employees are prepared for web time entry, Human Resources has been developing three simple online training modules. Non-exempt staff are encouraged to view Web Time Entry for Non-Exempt Staff (log-in required) before they begin web time entry on July 16. The module offers step-by-step instructions, payroll deadlines, screen shots of each screen and legal requirements for time reporting. 

Web Time Entry for Approvers (log-in required) is now available for managers and supervisors who will be approving online timesheets. Approving supervisors are encouraged to take advantage of this resource before they begin approving non-exempt timesheets on July 16.

Important reminders:

Remember that paycheck issue dates will be different following the transition to biweekly payroll. Employees are encouraged to review any automatic payments or deductions they have set up, including supplemental retirement contributions, and adjust as necessary. View the biweekly web time entry calendar for a schedule of pay periods and paycheck issue dates through the end of the year.

Also for employees who are planning to take advantage of the Transition Assistance Plan to assist them financially during this transition, the next deadline to apply for the vacation cash-out and/or transition loan is Aug. 3. Payroll staff are available to assist you in determining the best option to meet your needs.
