Revised Policy for Remote Working Exceptions and Temporary Emergency Leave due to COVID-19

Dear Pacific employees,

The university has revised our Interim Policy for Remote Working Exceptions and Temporary Emergency Leave due to COVID-19 since December 2020. Effective March 29, 2021, the latest updates align with California’s most recent legislation, Senate Bill 95

Overview of the latest changes

Available COVID paid leave (and retroactive minimum COVID leave balances)

  • Full-time benefit-eligible employees are entitled to a minimum of 80 hours of COVID-19 related paid leave retroactively from Jan. 1, 2021 through Sept. 30, 2021
  • Part-time non benefit-eligible employees are entitled to an equal number of COVID-19 related paid leave hours determined by their normal work schedule, over a two-week period retroactively from Jan. 1, 2021 through Sept. 30, 2021
  • Unused COVID-19 paid leave balances will expire on Sept. 30, 2021
  • Note: If you have not used COVID leave, or if you have not use enough to drop below the new minimum effective Jan. 1, 2021, your COVID balances will not change. Your current COVID leave balance reflects any hours taken. Current COVID leave balances are available to review on your paystub and can be seen in employee self-service using the insidePacific portal (Pacific ID required).

Additional reasons for COVID paid leave now include:

  • Eligible employees can use COVID-19 related sick paid leave for attending a vaccine appointment or cannot work or telework due to vaccine-related symptoms
  • Eligible employees can use COVID-19 related paid leave to care for a child whose school or place of care is closed or unavailable due to COVID-19 on the premises
  • Note: Employees should notify their supervisor before using COVID leave, and record COVID SICK or COVID Care on their timesheets or leave reports. Please see the Pulse announcement regarding recording COVID leave with payroll (Pacific ID required).

COVID Paid Leaves—Students (No Changes)

  • Federal Work Study (FWS)-paid and Department (DPT)-Paid student employees 
    • Total amount of COVID-19 Supplemental Administrative Paid Leave provided by Pacific to student employees is 24 hours (This amount has not changed)
    • Qualifying reasons for students to take COVID-19 Supplemental Administrative Paid Leave provided by Pacific are the same as those listed above
  • Graduate assistant student employees 
    • Total amount of COVID-19 Supplemental Administrative Paid Leave provided by Pacific to graduate assistant student employees is 40 hours (This amount has not changed)
    • Qualifying reasons for graduate assistant student employees to take COVID-19 Supplemental Administrative Paid Leave provided by Pacific are the same as those listed above
  • Note: COVID-19 Supplemental Administrative Paid Leave will be charged directly to department budget/salary lines for FWS-paid students, department-paid students and graduate assistant student employees.
