Why am I receiving the Technology Reimbursement payment?
University of the Pacific is reimbursing employees who used their own cellphones, internet, home phones, computers, printers, etc. to perform university work while we were remote due to COVID-19 during one or more of the periods from March 16, 2020 through August 16, 2021 and January 4 through 28, 2022.
Who does this affect?
This technology reimbursement is for faculty, staff, temporary casuals and student workers who were employed by Pacific and worked remotely from March 16, 2020 through August 16, 2021 and January 4 through 28, 2022 or for some portion of those periods. This includes employees who may no longer be currently employed by the university.
When will I get the reimbursement?
Reimbursements will be processed by June 16, 2022.
How will I receive the reimbursement?
Payments will be processed through the Accounts Payable department, not through Payroll. If you are set up with direct deposit from Accounts Payable, you will receive this reimbursement through direct deposit. If not, you will receive a paper check in the mail, mailed to the address on the W-2 we have on file for you.
Is the payment taxable to me?
No, the payment is not considered taxable as it is a reimbursement of a business expense.
How much will I get?
A per-pay period reimbursement rate was established based on a survey of local service providers during this period and validated by reviewing peer and College of University Professional Association (CUPA) data.
Your reimbursement may be pro-rated based on multiple factors, including the level of connectivity required based on job classification, part- or full-time status, and number of pay periods worked remotely during the periods.
For employees on Leave of Absence (LOA) for two or more consecutive pay periods, those pay periods were subtracted from the eligibility period in the calculation of your reimbursement.
If you already have received a Mobile Phone Stipend or other technology-related reimbursement during this period, those amounts will be deducted from your reimbursement and may result in no additional payment.
Why did I NOT receive the Technology Reimbursement payment?
This payment is a reimbursement for employee expenses related to connectivity to conduct business during these periods. Employees who mainly worked on campus during these periods do not qualify for reimbursement. Amounts for less than $10.00 were not considered for reimbursement. If an employee already had a Mobile Phone Stipend or another technology-related reimbursement during this period, and that amount exceeded the calculated reimbursement, then no additional reimbursement was processed.
Who do I contact if I have additional questions?
Should you have additional questions about your reimbursement amount, please reach out to Kara Bell at kbell@pacific.edu or 415.929.9468 if you are a Dugoni employee. For all other employees, please contact Patrice Coss at pcoss@pacific.edu or 209.946.7451.
